The booking system is visual and shows, on a grid, the rooms that are booked and those that are free. You can display all rooms, or you can select only a certain type of room that is required by the customer to make it easier.
Customers are identified by postcode, and if they have been entered previously, their data is instantly retrieved from the archive file and brought into the current file where you can check that their details are still correct. Then all you have to do is click the days that they wish to book in the appropriate room.
You can select the required extras, e.g. breakfast, dinner, etc., from your custom list. Also, you can enter the amount of deposit received for the booking. You are then given the option to print a confirmation. If you have entered an email address for the customer, you will be given the option to email the confirmation.
At check-in a list of expected guests is shown from which you can select the appropriate one. Then all the booking details are shown for you to confirm with them. If required, a registration sheet can be printed giving all details of the room and the booking with a customised welcome message giving information that they should be aware of, e.g. fire regulations etc.
Extra charges can be added as they occur, either from the office terminal or any other terminal that you might have, e.g. in the restaurant. Charges are entered against room number and you can then confirm the customer’s name against the name shown for that room.
At check-out, the full details of the booking are shown and an invoice can be printed and an entry made into the accounts, automatically. At this point, the room is cleared of the booking data for this client and can now be re-allocated.
